Typical Workflow: From Consultation to Completion

Work requests to RINEARN typically start and proceed in the following manner.

Currently, our business-oriented services are primarily available for clients based in Japan.
However, if you are located outside Japan and are interested in working with us, please feel free to contact us and we can discuss what is feasible.

Consultation / Consideration Phase

1. Contact

First, please send us a brief outline via the Contact page.

A light, high-level description is perfectly fine — feel free to write in any format.

2. Detailed Consultation / Meeting

We will ask about the details via email, an online meeting, etc.

If necessary and depending on your needs, we may also be able to visit your site to discuss and understand the situation (travel expenses may apply).

3. Preliminary Investigation / Analysis

If some investigation or analysis is required at the quotation stage before full-scale work begins, we will take some time to conduct it.
Note: Depending on the results, we may unfortunately not be able to accept the request.

4. Quotation

If we can proceed, we will provide an approximate quote (for deliverable-based projects) or an hourly rate (for task-based work), etc.

Order / Development & Work Phase

1. Order / Contract

If you decide to proceed based on the quotation, the project is officially accepted once we receive your purchase order and/or contract documents.

2. Development / Work Execution

We will carry out the requested development or work. In many cases, there will be several check-ins along the way, including discussions and alignment based on prototypes or interim versions.

3. Delivery

For deliverable-based projects, delivery takes place upon completion. If online delivery is possible, we will provide a download link from the RINEARN server. Delivery via mailed media (disk/USB) or in-person handoff is also possible.

4. Feedback / Revisions

If revisions are needed after delivery, we will make the necessary changes and deliver an updated version.

Invoicing / Payment Phase

1. Acceptance

If the deliverables pass your acceptance process, please let us know.

2. Invoice

We will send an invoice. We can also issue it earlier (e.g., at delivery, before acceptance), if you prefer.

3. Payment

Payment can be made via bank transfer to the account we specify.

4. Receipt

We will issue and send a receipt. If you do not need one, please let us know.

Aftercare / Extensions / Maintenance

Feel Free to Ask Questions or Discuss Additional Work

If you have any questions after the project is completed, or if you would like to request additional work or extensions, please feel free to contact us — we will respond flexibly.

For long-term projects, we may also extend the system step-by-step by repeating the above workflow multiple times.

Handover Support Is Also Welcome

We also welcome cases where you prefer to have your in-house team/lab members or another company handle maintenance and future extensions after delivery.

In such cases, we will do our best to ensure a smooth handover — for example, by holding meetings and preparing explanatory materials. preparing explanatory materials. If desired, we can also discuss joining temporarily as a transitional resource, or providing occasional support only when needed.

Please rest assured that we will not suddenly disappear or cut off communication. We have been operating publicly under our real name for many years, so so-called "vanishing" is simply not an option for us.
